Title: Regional Facilities Manager

POSITION SUMMARY:

The Regional Facilities Manager a trusted advisor to the regional business owners and the Global Real Estate and Facilities team on a wide variety of Real Estate, Facilities, physical security and building engineering services across an assigned region.

 

Works closely with the Global Real Estate and Facilities team by developing consistent processes, procedures and controls as needed. Manages projects through measuring, monitoring, and improving efficiencies wherever possible. Prepares analysis and drives the development of new processes as needed.

 

The Regional Facilities Leader will serve as liaison/ambassador between Global Real Estate and Facilities and the assigned region to effectively communicate potential issues and resolutions in a timely manner. Engage management in decision making process when appropriate.

 

RESPONSIBILITIES:

  • Organize and manage the deployment of processes. Direct deployment meetings, track tasks and perform follow-up activities to ensure deployment plans are effectively being executed.
  • Ensure optimum contractor staffing structures operate across regional facilities to balance coverage and performance needs with the delivery of service excellence
  • Assist in developing a region wide maintenance tracking/work request system that includes PM’s, repairs, parts, cost and holds to AE global facilities standards.
  • Ensure that regional facilities are staffed by appropriately skilled personnel
  • Develop, mentor and coach staff to achieve organizational sustainability and career growth
  • Assisting with management of the company’s regional real estate portfolio by providing information and documents to the real estate database owner that helps track key lease terms, critical dates, and lease expenses.
  • Manage all specific maintenance actions required by leases
  • Effectively lead, train, motivate, and develop staff; as well as managing relationships with vendor representatives.
  • Work closely with AE’s regional Environmental Health and Safety (“EHS”) leader with safety and physical security initiatives.
  • Maintain formal global facility standards, support corporate AE look and feel, and real estate policy/process standards
  • Participate in M&A considerations, activities, and integration as needed
  • Assist in the development of business cases to obtain approval for major real estate decisions including new leases, acquisitions, dispositions, consolidations, and capital projects
  • Conduct periodic facility assessments identifying areas of risk, deferred maintenance, savings opportunities, and executing corrective action plans as needed
  • Interface with finance, property tax teams and AE global facilities regarding capital assets, furniture, fixture, and equipment inventories

 

EDUCATION:

  • Bachelor’s degree, preferably in Facilities Management, Real Estate, Business Administration or related discipline required

QUALIFICATIONS:

  • Ability to convey technical information orally and in writing in a clear and concise manner
  • Proven negotiation, interpersonal and communication skills, and the ability to collaborate with senior management
  • Ability to prepare reports and presentations and to present alternative solutions, cost/benefit analysis and recommendations
  • Ability to communicate effectively with external constituents of the company
  • Fluent English language skills, and advanced German language skills
  • Other European languages are of advantage
  • In-depth knowledge of financial terms and principles relating to Facilities Management and the ability to forecast and prepare budgets and report summary financial, operating and capital performance data
  • Broad knowledge of principles and practices of facilities operations, maintenance, and management
  • Excellent PC and spreadsheet and presentation skills
  • Proven success with managing projects that deliver results
  • In-depth knowledge of building engineering infrastructure
  • Exceptional communication skills, written and oral, with all levels in the organization as well as with outside partners and vendors
  • Excellent people management skills
  • Speaks clearly and persuasively in positive and negative situations; listens and gets clarification; responds well to questions; participates in meetings
  • Ability to establish and maintain effective working relationships with the Global Real Estate and facilities team members, site management, vendors, inspectors, and company employees
  • Understand when better or more cost-effective vendor services may be available and pro-actively explore those opportunities, bring your recommendations to Global Real Estate and Facilities for approval to implement
  • Proven track record of facilitating and negotiating service contracts with outside vendors to achieve balance between performance and cost in compliance with AE’s values, standards, and guidelines for business conduct
  • Success with managing relationships with landlords and outsourced real estate service providers to ensure compliance with agreements, leases performance, lease audits and maximize cost savings
  • Lead, manage and partner with cross functional team(s) to plan and apply global standards, budgets, schedules, and implement regional / remote construction projects and programs
  • Effectively take charge, manage, and communicate potential issues and resolutions in a timely manner. Engage the GM in the decision-making process when appropriate.
  • Understand and oversee development and tracking of site Facilities SG&A budgets. Ensure costs are effectively controlled and targets are met on a monthly basis. Assist with the development of annual budgets and forecasts with supporting cost justification documentation.
  • Effectively manage capital projects while optimizing Facilities Operations and expense control.
  • Understand the process for generating purchase orders and processing all site related invoices in a timely manner.

 

EXPERIENCE:

  • Ten plus years of progressive Regional Real Estate and Facilities leadership focused on lease negotiations and Facilities management operations across multiple locations
  • Minimum of five to ten years of supervisory experience
  • Hands on experience working closely with finance, IT, legal, internal and external auditors to meet SOX requirements
  • Experience with corporate real estate and facilities metrics, information and data analysis, impact analysis, cost-benefit analysis, ROI, and globally integrated solutions with ability to interpret data to make fact-based decisions
