Maintenance Administrator

                                                                       Join Our Team as a Maintenance Administrator at Vent Engineering

 

Vent Engineering are in search of an administrator to work in our Head Office in Poole.

 

As part of the role you will be a key point of contact for our engineers and our customers providing administrative assistance to support jobs being completed efficiently.

 

Training and support will be given on our systems but we are seeking a candidate who is keen to acquire new skills and can be comfortable working individually or as part of a supportive team in a face-to-face environment.

 

In this position, you will play a vital role in supporting the Maintenance Team and, as such, we are seeking an individual with a strong, optimistic mindset and a sharp attention to detail.

 

Responsibilities:

 

  • Basic quote preparation for maintenance contracts
  • Preparing pro-forma invoices for payment through Sage 200 
  • Chase timesheets and job sheets to ensure receipt in a timely manner
  • Contacting customers to chase outstanding quotes
  • Entering Sales orders for goods, services and labour
  • Scheduling appointments for our engineers
  • Costing engineers time from weekly timesheets to a sales order
  • Basic quote preparation for remedial works
  • Using Servicelife to record all customer and site history
  • Answering the phones and responding to emails as required
  • Booking Hotels for engineers
  • Managing ‘Van Stock’ and returns
  • Other duties as required appropriate to the role

 

Experience required:

 

  • Previous experience in a similar role is desirable
  • Strong communication skills as you will be liaising with colleagues across the business as well as with clients on the telephone and via emails
  • Excellent numeracy and IT skills
  • Organised, accurate with a very high attention to detail
  • The ability to make decisions whilst working under pressure.
  • A proficient user of MS Office
